Import data from Excel sheet

Accepted Answer

You can import properties, renovations, maintenances and leases by an Excel document on SkenarioLabs service's Import & Export-page. Excel sheets can contain only predefined set of columns.

How to

Go to the Export & Import view.

Choose the portfolio where data should be imported or create a new one.

For new portfolios, you can give a title for the portfolio.

Before import, you can also choose if SkenarioLabs should assume all properties to have their renovation history done by assumed renovations. If you choose not to generate historical renovations, all needed renovations and repairs are scheduled for the next year.

After a successful upload, you will be informed which sheets and rows in the uploaded file are invalid and not uploaded to the SkenarioLabs database. A row might be declared invalid if a mandatory cell is empty, or there is a spelling error. Fix these rows appropriately according to these instructions.

Property building view

Property building view consists of the basic data of the current building, renovation and technical related information such as weather and solar potential, energy consumption and supply, estimated monthly energy demand and potential, etc.

In this view, user can edit basic details of the building, renovation and some of the technical information

Building details

The basic details of property building are:

Building ID (Identifier for the building. Mandatory field. Must be unique within organisation.)
Building name (Name of the building. Mandatory field.)
Address (Street name and number of the building.)
Postal code (This is required to initiate the analytic calculations.)
City (City name of the building's location.)
Build year (The year when the building was built.)
Description (Additional information about the building)
Building type (Original purpose of the building)
Property group (The property group that the building belongs. Not editable.)
Electric type (Type of electric supply to the building)
Heating type (Type of heating supply to the building)
Number of floors (Can be used to calculate the volume of the building.)
Gross floor area (Area of each floor in the building. Can be used to calculate the volume of the building.)
Volume (Can be used to calculate the heating consumption.)
Number of lifts
Number of balconies
Number of units (The number of known units belonging to the current building)

Export property data in an Excel file

Export property data in an Excel file

You can export an Excel document on Skenarios service's Import & Export-page. The exported Excel contains two sheets, one for buildings and one for units. Please, note that all the information uploaded into the Skenarios' service by Excel Import may not be included in the exported Excel, hence we recommend you to save your original Excel file to prevent possible loss of information.

How to

Go to the Export & Import view.

Choose a portfolio to be exported; portfolio 'Helsinki' is chosen in the adjacent figure.

Click 'Create Export', the export process will start. For small portfolios, the download link will appear almost immediately and you can download the export file.

For large portfolios, the processing will take a while and the link will appear once the export is done. You will get a notification if this is the case. You can see the completed export file when you refresh the page.

Renovations

An exported Excel represents building level renovations for the next decade in great detail. Each year has its own column for yearly total renovation costs, and the following column presents the details of the total costs. Property renovations are roughly divided into two classes: Building renovations and unit renovations. This article considers building renovations, which are presented in a building building view as Planned renovations.

Overview

Renovation overview shows a graph displaying last five year and future ten years renovation costs.

Past & future renovations

Past & future renovations table contains the most recent and near future renovations for the building. Renovations are either Assumed or Planned. A renovation year followed by an asterisk denotes the renovation is statistically Assumed, and the absence of an asterisk denotes the renovation is of user origin, that is, Planned. Moreover, a description and price estimate are provided for each renovation. The control icons pen and bin are for editing and deleting a renovation. For more information about editing, please refer to Section Add a new renovation.

We recommend you to fill in the renovations table as thoroughly as possible to gain the most up-to-date and accurate SkenarioLabs analytics.

Portfolio view

Portfolio view

The portfolio view is one of the key summary views of the Skenarios service. It consists of three tabs: Technical, Property and Finance. These three views capture the essential features of a portfolio. The technical view aggregates features from a building or group point of view, whereas Property and Finance views aggregate features from a unit perspective.

Technical tab

Overview of the most important technical features of the buildings and the units in the current portfolio is presented in this tab. The main figure of the technical features is the Next 10 years renovation costs, which is the sum of all building renovations1 (excluding unit renovations), is presented in the tab.

Renovation forecast

All estimated unit and building renovations of the properties in the portfolio is shown in the stacked bar chart. Note, that the building renovation costs are total costs, not costs in relation to the units owned/administered in the building.

Renovation list

The most expensive renovations subject to the buildings in a portfolio for the upcoming years are listed. Maximum five renovations are shown per a year and renovations to which there is no estimate are ranked the highest in the list.

Last 3 years maintenance

The unit maintenance costs of the past 3 years and the current year.

Energy consumption forecast

Estimated energy consumption per square meter electricity, heating, and cooling demands of the buildings in a portfolio.
